Compliance Reports - How Compliance Reports are Calculated

Overview

The Compliance Report provides a summary of lubrication activity within a selected date range. It evaluates scheduled grease tasks and shows how they were completed against defined requirements.

The report focuses on four key areas:

  • Whether tasks were completed
  • Whether the correct grease was used
  • Whether the correct amount was applied within tolerance
  • Whether tasks were completed on time

Based on this, each task is classified as:

  • Compliant – completed and meets all requirements
  • Non-Compliant – completed incorrectly or not completed when required
  • Pending – not yet due by the end of the report period

The report also presents three performance metrics:

  • Right Grease – percentage of tasks using the correct grease type
  • Right Amount – percentage of tasks within the acceptable volume range
  • Right Time – percentage of tasks completed on time

In addition to the summary, the report includes detailed sections showing:

  • Over-grease and under-grease events
  • Incorrect grease usage
  • Tasks that were due but not completed
  • Compliance grouped by schedule, location, and asset

This information helps users review task execution and identify where requirements are not being met within the selected period.


How to Generate a Compliance Report

Compliance Reports are generated from the GreaseCloud Dashboard:

Reports → Compliance Reports

Users select a target date range and the Schedules and Assets, and the system automatically calculates compliance based on task and event data within that period.


How Tasks Are Created

Tasks are generated when:

  • A grease point (nipple) is assigned to a schedule

Each scheduled point produces tasks based on its defined frequency (e.g. weekly, monthly, every 2 weeks).

How Tasks Are Included in the Report

Tasks are included based on both:

  • The selected date range
  • The schedule rules

Inclusion Rules

  1. Tasks created after the report start date
    • Included only if completed or if due to expire before report end date
  2. Tasks due to expire before the end of the report
    • Included whether completed or not
  3. Tasks that extend beyond the report end date
    • If not completed → marked as Pending

Task Status Definitions

Compliant Tasks

A task is compliant when:

  • It is completed
  • The correct grease type is used
  • The correct amount of grease is applied (within tolerance)
  • The task is completed on time

 

Non-Compliant Tasks

A task is non-compliant if:

  • It is completed but:
    • Over-greased
    • Under-greased
    • Incorrect grease type used
  • OR it was due before the end of the report period but not completed

 

Pending Tasks

A task is Pending if:

  • Its due/expiry date falls after the report end date
  • AND it has not yet been completed

 


Key Compliance Metrics

Right Grease (%)

Percentage of tasks completed using the correct grease type.

  • Any grease type violation reduces this percentage

 

Right Amount (%)

Percentage of grease points that received the correct volume of grease.

  • Calculated based on:
    • Target Grease Volume × Tolerance Threshold %
  • Over-grease and under-grease events reduce this percentage

 

Right Time (%)

Percentage of tasks that were completed on time.

  • Late or missed tasks reduce this percentage

Grease Events and Event Count

A grease event occurs when grease is recorded as delivered to a grease point.

  • The Event Count represents the number of times grease was applied to a specific point within the report period
  • Multiple events can occur for the same point depending on schedule frequency and activity
  • Untracked Grease Events do not get included and calculated into the Compliance Report

Volume Tolerance and Violations

Each task has:

  • A Volume Requirement (target)
  • A Volume Tolerance

Tolerance defines the acceptable range above or below the target volume.

Example:

  • Target: 50g
  • Tolerance: +\- 20%
  • Acceptable range: 40g – 60g

Violations:

  • Over-grease: Above tolerance
  • Under-grease: Below tolerance

These are shown in:

  • Over-grease Violations table
  • Under-grease Violations table

Time-Based Violations

Tasks that:

  • Were required to be completed before the end of the report period
  • But were not completed

→ Are classified as Non-Compliant

These are listed under Time-based Violations (Scheduled events not completed) in the report.


Point Statistics

Mapped Points

  • Grease points with an RFID tag assigned and mapped in the system

Untagged Points

  • Grease points recorded in the system but without an RFID tag assigned

Summary

The Compliance Report evaluates lubrication performance by combining:

  • Task completion data
  • Grease delivery records
  • Schedule requirements

It provides visibility into:

  • Whether the correct grease was used
  • Whether the correct amount was applied
  • Whether tasks were completed on time

This allows teams to quickly identify:

  • Missed maintenance
  • Incorrect lubrication practices
  • Opportunities to improve reliability and compliance
