INSTALLATION PLANNING MEETING
The first step in the process is to schedule an Installation Planning Meeting.
This meeting ensures everyone involved understands the installation plan and responsibilities before work begins.
We recommend including the following people where possible:
- Maintenance supervisor
- Reliability engineer
- Maintenance planner or scheduler
- Lubrication Technicians
- Electrical supervisor
- IT / OT representative
The purpose of the meeting is to:
- Confirm the assets and grease points that will be monitored
- Review the installation approach
- Confirm installation locations
- Review communication/network requirements
- Assign installation personnel
- Schedule installation works
Following this meeting, GreaseBoss will prepare installation work orders in the Hindsite Mobile App and supporting documentation.
GREASEBOSS GREASECLOUD DASHBOARD ACCESS
The GreaseBoss Cloud Dashboard is where system data is displayed and where system configuration is managed.
Before system commissioning, please consider which personnel in your organisation will require access to the platform.
Typical users may include:
- Reliability engineers
- Maintenance supervisors
- Lubrication technicians
- Asset managers
- Operations managers
Please provide the following information for each user:

PLANNERS/SCHEDULERS
Maintenance planners, schedulers, or project coordinators play an important role in ensuring the GreaseBoss installation is completed efficiently and safely within existing site workflows.
Crew and Equipment Resources Required during the installation can include:
- Lubrication Technicians or Crew Installing Tags
- Electrician

Scheduling Considerations
When planning installation works, the following factors may need to be considered:

- Maintenance shutdown windows

- Electrical access for gateway installation
- Safety and permit requirements
GreaseBoss will assist your planning team in determining the estimated time and resources required for installation.
IT / OT REQUIREMENTS
In some cases, the GreaseBoss system may require review or approval from IT or OT teams to confirm compliance with site network and cybersecurity policies.
Possible connectivity options include:
- LTE / cellular communication
- Site WiFi
- Ethernet connection
- Private operations networks
The IT / OT team may be required to assist with:
- Approving the selected network communication method
- Providing network access details where required
- Confirming firewall or security requirements
- Ensuring compliance with site cybersecurity policies
If your organisation requires IT approval processes, we recommend IT or OT team being involved early in the planning phase.

GREASE TAG INSTALLERS
Appropriate Lubrication Technicians or other personnel should be nominated to perform the installation of the Grease Tags to the grease nipples throughout the plant.
These crew will attach the Grease Tag to the required grease nipples, and use the GreaseBoss Head Unit and GreaseBoss Commissioning App to associate/map the Grease Tag RFID Serail Number to the GreaseCloud Dashboard.

Before installation, installers should confirm:
1. Grease Point Identification
- Which assets and grease point the tags will be installed on
2. Grease Types & Tag Colours
- Are there multiple grease types being monitored?
- What colour Tag is associated to which grease type
- Installation Guides can be found HERE
3. Attach Head Unit to Grease Gun
- Installation Guides can be found HERE
4. Mapping Tags to GreaseCloud
- Download and Install GreaseBoss App to mobile device (available on App Store and Google Play)
- Understand how to use GreaseBoss App during installation of tags
Work Orders
GreaseBoss will supply a Work Order with individual work instructions and installation guides within the Hindsite Work Order App. Fitters will be assigned to these work orders and can access them through a mobile device.

GATEWAY INSTALLERS – ELECTRICAL
Qualified electricians or auto-electricians are responsible for installing the GreaseBoss Gateway and Antennas.
Installation Guides for the Gateways and Antenna can be found HERE
The Gateway needs to be installed in the same location where the GreaseBoss Head Unit/s will be stored and connected to their charger unit between lubrication task schedules. This location also needs to be where the Gateway can establish a a reliable connection to the cellular, wi-fi or OT network to communicate the data to the cloud.
Before installation, the Electrician should confirm:
Gateway Installation
- Mounting location
- Within range of the Head Units when on charge to enable syncing, and
- Within range of reliable data network for Gateway <> Cloud connectivity
- Power supply connection
- GPO Connection, or
- Hardwired to Power Supply
Work Orders
GreaseBoss will supply a Work Order with individual work instructions and installation guides within the Hindsite Work Order App. Fitters will be assigned to these work orders and can access them through a mobile device.
